NOTE: it is also possible to edit the model and property release information about your images from www.africamediaonline.com. Any changes made on your site will appear on www.africamediaonline.com and vice-versa.

Online Model and Property Release Management

1. Log in using your admin login on any page of your site. If you do not know your username and password email contributors@africamediaonline.com

2. Three tabs will appear at the top of the page. Click on the Content management tab

3. That will bring you through to a page with tabs – search, metadata, admin and galleries.

4. Search for the images you want to add/edit release information for. To view all your images search using your own name, as registered with Africa Media Online.

5. Tick the box(es) below images you want to mark as model or property released and click on the admin tab

6. In the admin bar on the left of the page answer the relevant questions below “People” and “Property” in relation to the selected images to mark them as released. Please ensure that if you indicate that a Model or Property release exists, you are able to make the release(s) available to Africa Media Online if so requested. The release must be legally binding and authorise all uses of the images anywhere in the world including without limitation uses in relation to sensitive issues.

7. Confirm your information when the pop-up appears: “Are you sure you want to update selected media?”

8. Now when you click on the image the pop-up preview page will show Model release “YES” (or property release depending on what you have marked)

NOTE: Search engine indexes are updated at midnight every night. So the changes you make will only be searchable the following day.

From the CRM side:

1. First you need to understand your CRM

2. Once logged into your CRM click on “add buyer”

3. Add in your details and for DOWNLOAD STATUS select YES

4. Note that the next option “DOWNLOAD UNWATERMARKED COMPS” is not enabled for all sites

5. Click “add buyer”

From the website side:

1. Login in your site using the login you have just created

2. Browse or search for an image

3. Under the thumbnail you will see the words “Download high res”. Click there. NOTE: Buyers who do not have DOWNLOAD STATUS will see the word “order” under the image and will be directed to email you as the site owner to order the image. You could then potentially decide to give them download status.

4. There is a warning that you will be billed for downloading. Obviously as the site owner you can waive this if you are not charging for downloads.

5. Download the high resolution image to your desktop

6. Repeat in the same way for anyone who you want to allow to download images off your site. Sites with ecommerce have the alternative of having buyers paying online before they can download.

7. You will receive an email as the site owner when anyone downloads off your site alerting to who downloaded and image and the image number. This enables you to control what is being downloaded. The person who downloaded will also receive a notification email.

1. Login as the site administrator

2. Click on Website Dashboard

3. Click on “Select Homepage URL”

4. Fill the url of the desired home page into the text box provided and submit

5. If you want to revert to the “about us” page as the default home page then simply leave this text box blank and submit

3. Select “Edit invoice details” and a page loads that looks like this one:

4. Fill in all the details that you would like to have appear at the top of the invoice that is sent off your site, including uploading your company logo.

5. Submit

6. Note that these details can be edited at any stage.

You will need to check that your files conform to the standards laid out here. If they do, then tick the tick box.

4. Clicking Submit takes you through to the page where you can begin uploading files. Click on Browse to go and search for the file you want to upload.

5. Immediately upon clicking on select, the file will begin to load. You will see a progress bar as it loads. Once a file has loaded its progress bar will disappear. Please do not re-upload the same file without first checking if the first one was received. Email contributors@africamediaonline.com to check.

6. Please email contributors@africamediaonline.com when you have done an upload, noting how many files you have uploaded, so that we can confirm that the files have come in safely.

Online Upload System

3. That will bring you through to a page with a list of checks. Make sure your images conform to the list. If they don’t they will be rejected. Tick each one before proceeding.

4. Clicking Submit takes you through to the page where you can begin uploading files. Click on Browse to go and search for the images you want to upload. You can upload many pictures at a time if you select a group

5. Immediately upon clicking on select, the files will begin to load. You will see a progress bar for each file as it loads. Once a file has loaded its progress bar will disappear. The count of number of files uploaded will not change from zero until all files are loaded. You can cancel the upload of an individual file by clicking on the red “x” and you can cancel all the uploads by clicking on “Cancel all Uploads”. Be careful about using this as you may cancel an upload half way though and the image will appear online half uploaded. It is very important that you do not navigate away from this page while the images are still uploading as the upload will be cut off.

6. Give your images up to 24 hours before they are searchable online. Please do not re-upload the same file without first checking if the first one was received. Email contributors@africamediaonline.com if you can’t find it online.

7. Please email contributors@africamediaonline.com when you have done an upload, noting how many files you have uploaded, so that we can confirm that the files have come in safely.

Unless you understand something about HTML, you may need to get your web designer to create and edit your top and bottom includes as it is easy to create a mess if you do not know what you are doing. If you do, or you are a web designer, then follow the instructions below.

1. Login as the site administrator

2. Click on Website Dashboard
This will load a page with the following options below:

3. If you are loading some image files, style sheets or javascript into your top or bottom includes click on “Upload Files for Top/Bottom Include”
This will take you through to a page where you can select the relevant files from your computer by clicking on “Choose File” and then upload them online by clicking on “Submit”.

4. Once you have loaded a file a message will appear in the top include giving you the address of that file. Copy that address as you will need it in order to reference it in the next step.

5. Click on “Website Dashboard”

6. Click on “Edit Top/Bottom Include”

7. Here you will see two boxes, one for the top include and another, below, for the bottom include. Use your HTML knowledge link your the files you loaded and place them correctly.
Note: When linking files, exclude from the pathway the word “public” at the front of the image pathway.

8. Click “Submit”

9. You will see the results of your work in the Top or Bottom includes

Above: The Admin tab on Yolande Snyder’s web site. For some of you there is an issue of the links not being visible against the background. They are there, if you roll your mouse over you will see, it is just that they are not visible. Something that is still being sorted out.

If you do not have a write up about yourself on your Home Page and your contact details on your Contact Us page or you want to change the pictures on these pages, you can do this yourself. All you need is the login I sent you when I first announced to you that your web site is viewable. That is known as your Administrator’s login. Just follow these simple instructions:

1. Edit your About us page (which is also the home page where no entry page exists):
1.1 Login as the site administrator
1.2 Click on the “Website Dashboard” tab
1.3 Select “Edit About us”

1.4 Add or edit the text:
1.4.1 Use the editing functions given on the page
1.4.2 Click “submit” every time you make any changes to the text on this page
1.4.3 To view the changes click the “about us” tab
1.5 To add or change the image that appears:
1.5.1 Select a horizontal (ie landscape) image
1.5.2 Prepare the image at minimum 550 pixels width
1.5.3 Choose the file
1.5.4 Click “submit”
1.5.5 To view the changes click the “about us” tab

Do the same for your Contact Us page.
